How We Calculate Your Meeting Costs

The Meeting Cost Calculator uses a straightforward salary-based formula to estimate the true cost of each meeting your team attends. Here's the methodology behind every number on the screen.

The Formula

Every calculation starts with an estimated hourly rate derived from the average annual salary you enter. We assume 2,080 paid working hours per year (52 weeks × 40 hours), which is the standard full-time benchmark used by the Australian Bureau of Statistics and most global HR benchmarks.

• Hourly rate = Annual salary ÷ 2,080
• Per-meeting cost = Hourly rate × Number of attendees × (Duration in minutes ÷ 60)
• Weekly cost = Per-meeting cost × Meetings per week
• Yearly cost = Weekly cost × 48 working weeks
• Avoidable yearly cost = Yearly cost × Avoidable percentage

We use 48 working weeks rather than 52 to account for annual leave, public holidays, and sick leave — producing a more realistic figure than a raw 52-week projection.

The “30% Avoidable” Default

The calculator defaults to 30% of meetings being avoidable. This figure comes from research by Dr Steven Rogelberg (University of North Carolina Charlotte, 2022, n=632), conducted in partnership with Otter.ai. Rogelberg found that roughly one-third of all meetings surveyed were considered unnecessary by at least one participant — and that teams with higher meeting loads reported lower productivity and engagement.

This is a conservative anchor. Other studies — including a 2023 Microsoft Work Trend Index analysis of 31,000 employees — put the “wasted meeting time” figure closer to 40–50%. We chose 30% so that the default output is a floor, not a ceiling. Adjust the slider to match your organisation's reality.

Salary Benchmarks

The default salary of A$100,000 is broadly representative of mid-level knowledge workers in Australian capital cities as of May 2026. According to Glassdoor Australia and PayScale, median total compensation for roles including software engineer, product manager, and business analyst in Sydney and Melbourne sits between A$90,000 and A$120,000 (data sourced May 2026). For US-based teams, the equivalent is approximately US$80,000 for comparable mid-level roles.

What the Numbers Don't Include

The calculator uses salary cost only. It does not factor in:

• Employer on-costs— superannuation (11.5% in Australia), payroll tax, workers' compensation, and benefits typically add 20–30% on top of base salary.
• Opportunity cost — the value of what each attendee could have produced instead of attending the meeting.
• Meeting preparation and follow-up time — studies suggest preparation adds 30–60 minutes per meeting hour on average.
• Facilitation and tooling costs — video conferencing licences, room booking software, and external facilitators.

In practice, the fully-loaded cost of a meeting is often 1.5–2× the raw salary figure. Our calculator gives you the floor — the actual cost is likely higher.
