How AI Scheduling Works

Chronos Calendar uses artificial intelligence to automatically schedule your tasks in the most efficient way possible. Here's what happens behind the scenes:

Analyses Your Availability

The AI looks at your weekly availability settings to know when you're free to work

Calculates Smart Priority Score

Combines task priority with urgency (how soon it's due) to determine optimal scheduling order. High-priority tasks get best slots, but urgent deadlines are respected.

Smart Task Chunking

Tasks are kept in large blocks when possible. Only splits into smaller chunks when there's no room for the full task. Creates variable-sized chunks that fit available time slots.

Adds Buffer Time

Automatically adds breaks between tasks (default: 10 minutes) to prevent burnout

Finds Optimal Time Slots

Places each task in the best available time slot that fits the task duration

Avoids Conflicts

Never schedules tasks over existing events or other scheduled tasks

Adaptive Rescheduling

The real power of AI scheduling is its ability to adapt. Your schedule automatically updates when things change:

Task Completion

When you complete a task, it frees up time in your schedule.

What happens: All remaining tasks are automatically rescheduled to fill the gap optimally and get more done.

Task Deletion

Deleting a task creates available time slots in your schedule.

What happens: Remaining tasks are reorganised to use the freed time more efficiently.

Priority Changes

When you change a task's priority, it might need to move in your schedule.

What happens: Complete reschedule triggered, with higher priority tasks scheduled earlier.

Duration Changes

Updating a task's estimated duration affects how it fits in your schedule.

What happens: Tasks are repositioned to fit the new duration whilst maintaining priorities.

Availability Updates

When you change your weekly availability, your work hours change.

What happens: All tasks are rescheduled within your new availability windows.

Understanding Buffer Time

Buffer time is the break between tasks that helps you avoid burnout and account for unexpected overruns.

How Buffer Time Works

  • Default: 10 minutes between tasks
  • User-configurable in Settings > Account (0-60 minutes)
  • Applied after each task (including events)
  • Helps account for task overruns and mental breaks
  • Each user can have their own preferred buffer time
Recommended: Start with 10 minutes and adjust based on how tasks typically overrun. If you find yourself constantly running late, increase your buffer time.

Scheduling Rules

The AI scheduler follows these rules to ensure your schedule is optimal:

1. Events are Fixed

Events (meetings, appointments) have fixed times and won't be automatically rescheduled

2. Tasks are Flexible

Tasks are automatically scheduled and can be rescheduled when needed

3. Completed Tasks are Ignored

Only incomplete tasks are considered for scheduling - completed tasks stay in the past

4. Intelligent Priority Scoring

Tasks are scheduled based on a score combining priority and urgency. High-priority tasks generally get better slots, but tasks due soon get an urgency boost to ensure they're completed on time.

5. Smart Chunking Modes

Tasks without a specific chunk size use smart chunking (fills available slots with variable sizes). Tasks with a set chunk size use fixed chunking. Minimum chunk size prevents tiny fragments.

6. Due Date Constraints

Tasks are preferably scheduled before their due date, with slots before the deadline prioritised over slots after

7. Earliest Start Constraints

Tasks respect their earliest start time if set - won't be scheduled before that time

8. Team and Individual Tasks

Both team and individual tasks are scheduled together without conflicts, ensuring your calendar accurately reflects all commitments

Tips for Best Results

  • Set accurate availability

    The more accurate your availability settings, the better the AI can schedule your tasks

  • Use priorities wisely

    Don't mark everything as urgent - save it for truly critical tasks

  • Provide realistic time estimates

    Add 20% to your initial estimate to account for interruptions and complexity

  • Mark events correctly

    Use "Event" type for fixed appointments, "Task" type for flexible work

  • Use smart chunking for flexibility

    Don't set a chunk size on tasks unless you need consistent chunks. Smart chunking will automatically find the best way to fit tasks into your schedule

  • Adjust minimum chunk size

    Set your minimum chunk size in settings based on how you work best. Smaller chunks (25-30min) for focused work, larger chunks (1-2hr) for deep work

  • Trust the system

    Give the AI a week to learn your patterns - it gets better over time

Troubleshooting

Tasks Not Being Scheduled?

  • Check that you have availability set for upcoming days
  • Verify the task's due date hasn't passed
  • Ensure the task duration fits within your available time slots
  • Look for conflicting events that might be blocking time

Schedule Looks Too Packed?

  • Increase your buffer time in settings
  • Extend your weekly availability if you have more time
  • Review task durations - are they underestimated?
  • Consider breaking large tasks into smaller subtasks
