Creating Tasks and Events

There are multiple ways to create tasks and events in Chronos Calendar:

Method 1: Using the New Task Button

  1. Click the "New Task" or "+" button in the top navigation
  2. Fill in the task details (see below for field descriptions)
  3. Click "Create Task" to save

Method 2: Quick Add from Calendar

  1. Click on an empty time slot in your calendar
  2. The task form will open with the time pre-filled
  3. Add your task details and save
Quick Tip:Use keyboard shortcuts to speed up task creation. Press 'N' to quickly open the new task form.

Task Properties Explained

Understanding each field will help you create better tasks:

Title (Required)

A clear, concise name for your task.

Examples:

  • โœ… "Write quarterly report"
  • โœ… "Team meeting: project kickoff"
  • โŒ "Do stuff" (too vague)

Description (Optional)

Add additional context, notes, or requirements for the task. This helps you remember important details when you start working on it.

Duration (Required for Tasks)

Estimate how long the task will take. Be realistic! The AI uses this to find appropriate time slots.

Duration Tips:

  • Add 10-20% buffer to your estimate
  • Break large tasks (>4 hours) into smaller subtasks
  • Track actual time to improve future estimates

Priority (Required)

Set the importance level. AI schedules higher priority tasks first.

Due Date (Required)

When does this task need to be completed? AI will not schedule tasks after their due date.

Important: Set realistic due dates. If a task is overdue, it will be highlighted in your calendar.

Earliest Start (Optional)

Prevent AI from scheduling this task before a specific date/time. Useful for tasks that depend on other work being completed first.

  • Won't be automatically rescheduled

Editing Tasks

How to Edit a Task

  1. Click on the task in your calendar or task list
  2. The task details panel will open
  3. Click the "Edit" button or pencil icon
  4. Make your changes to any field
  5. Click "Save" to update the task
Auto-Rescheduling:When you change a task's priority, duration, or due date, the AI will automatically reschedule all your remaining tasks to optimise your schedule.

Completing Tasks

Mark tasks as complete when you finish them:

Ways to Complete a Task

1. Quick Complete

Click the checkbox next to the task name in your task list

2. From Task Details

Open the task and click the "Mark as Complete" button

3. From Calendar

Right-click the task in your calendar and select "Complete"

What Happens: When you complete a task, it frees up time in your schedule and the AI automatically reschedules your remaining tasks to optimise your time.

Deleting Tasks

How to Delete a Task

  1. Open the task by clicking on it
  2. Click the "Delete" button (usually a trash icon)
  3. Confirm the deletion when prompted
  4. The task will be removed and your remaining tasks will be rescheduled
Warning:Deleting a task is permanent and cannot be undone. If you're not sure, consider marking it as complete instead.

Best Practices

  • Use descriptive titles

    Make it clear what needs to be done at a glance

  • Be realistic with time estimates

    Overestimate rather than underestimate task duration

  • Set appropriate priorities

    Don't mark everything as urgent - use priorities strategically

  • Review and update regularly

    Adjust priorities and due dates as circumstances change

  • Break down large tasks

    Use subtasks for complex work that takes multiple hours
